Best Practises for working hours integration

You can import working hour entries from external software to Netvisor with the workday.nv resource. You can use the same resource to import, for example, absences.

Match the entry types

Netvisor matches the data imported with workday.nv to its entry types. You can find the entry types in Pay > Payroll settings > Entry types.

The matching uses the number of the entry type. To set the number, click the name of the entry type in the entry type settings.

For the imported hours to match the correct entry types in Netvisor, the entry types must have the same numbers in Netvisor and in the source system.

Choose the import method

You can import working hour entries with one of two methods: replace or increment. Give the method in the method attribute of the date element.

  • replace: Overwrites the existing entries for the same day that are in the Open or Confirmed status.

  • increment: Adds the new entries as new rows, in addition to any existing entries for the same day. The status of the existing entries does not matter.

replace does not overwrite accepted or paid entries

If the same day already has entries in Netvisor in the Accepted or Paid status, you cannot import hours or absences for that day with the replace method.

Import the data by day

We recommend that you import the hours by day. If you import all the hours at once, for example on the first or last day of the payroll period, you lose some tracking features in Netvisor. For example:

  • You cannot use the 14-day rule in holiday accrual.

  • In practice, you cannot use the voluntary absence data in the Incomes Register reports without editing the reports by hand.

Match the entries to employees

Match the working hour entries to employees in the employeeidentifier element. You can use one of these identifiers:

  • Employee number (recommended): attribute type="number"

  • Netvisor key of the employee: attribute type="netvisorkey"

  • Personal identity number: attribute type="personalidentificationnumber"

If you use the employee number, the employees must have the same numbers in Netvisor and in the source system. To set the number in Netvisor, open the employee listing, select the employee and enter the employee number in the employee's settings.
